Specific information for candidates as part of a personnel recruitment / selection procedure

As data subject, that is to say the person to whom the personal data supplied by you refers (hereinafter referred to as "Data"), Azienda Veneziana della Mobilità S.p.A. S.p.A., with registered office at Isola Nova del Tronchetto n. 33, Venice (VE), (hereinafter referred to as the "Company" or “A.V.M.”), wishes to inform you of the following.

1.     WHAT PERSONAL DATA CONCERNING YOU MAY BE COLLECTED

The data collected refer to the information generally contained in the Curriculum Vitae.
Moreover, information that comes from checking your references could also be collected, such as membership of an institution, your educational path, work history and other relevant information to help determine your suitability as a candidate and to check the veracity of the data.
This could also be done by contacting the subjects mentioned by you as contacts, as well as your previous employers and any other person with whom you have come into contact during the course of your working activity.
In addition to this, the data may include information and images from your profile on professional networks, notes taken during interviews and comments by the selection staff.
Moreover, should you pass the selection process (written test, interviews, etc.), the data may include a pre-employment health assessment (we would like to point out that, at this stage, specific data on health conditions are not processed, but only certifications of suitability/unsuitability for the role for which you have been selected).
The data may be updated on the basis of information available publicly and/or collected by third parties, and/or directly by you.
The data acquired will not concern personal beliefs, union or political affiliation as well as political, religious or trade union opinions, sexual orientation, pregnancy status, disability, race, ethnic origin, colour or health status (hereinafter referred to "special categories of personal data"), as well as facts that are not relevant for the assessment of your professional aptitude, unless they are characteristics that affect the way in which you work or which are a genuine and determining requirement for the performance thereof.

2.    FOR WHAT PURPOSES YOUR PERSONAL DATA MAY BE USED
The collection and processing of your data is carried out for the following purposes:

  • execution of pre-contractual measures connected with or instrumental to the Company's research and selection activities.

Providing data, including special categories of personal data, is considered mandatory to allow the company to fulfil the requirements of knowledge and assessment of candidates in the field of personnel recruitment and selection as well as to fulfil the legal obligations, rules and regulations. Failure to provide the data may result in the inability to start the personnel research and selection process and the inability to establish an employment relationship.

  • contact for subsequent job offers: in this case your data, and namely your email, telephone number and other contact details, may be used to contact you for subsequent job offers, where the requirements are met.

Processing conditions: consent.
Processing of your personal data for such purposes may only take place following the acquisition by the company of your free and explicit consent, set forth at the bottom of this statement. You have the right to refuse consent and/or revoke it at any time.

3.    HOW WE KEEP YOUR PERSONAL DATA SAFE AND FOR HOW LONG WE KEEP THEM
Your data will be processed according to the principles of correctness, lawfulness and transparency and they may also be processed using automated procedures designed to store, manage and transmit them. The data will be processed using suitable tools and guarantee security and confidentiality through the use of suitable procedures to avoid the risk of loss, unauthorised access, illicit use and dissemination.

Your data will be kept for the period necessary for the selection of personnel and for the 3 years that follow (for future positions of potential interest). The Company checks the data periodically and the possibility of erasing them if they are no longer necessary for the intended purposes. Once the storage period has expired, the data will be erased or rendered anonymous.

4.     WITH WHOM WE MAY SHARE YOUR PERSONAL INFORMATION
Your personal data may be accessed by employees who have been duly authorised by the Group HR and Organisation Management, the Management contacts in whose interest the selection is made, members of the internal assessment committee, as well as external suppliers, appointed as data processors, if necessary, who provide support to deliver the services.

5.    YOUR DATA PROTECTION RIGHTS AND YOUR RIGHT TO LODGE COMPLAINTS WITH THE SUPERVISORY AUTHORITY

You have the right to ask the Company under the legal conditions:

  • to gain access to, rectification or erasure of your personal data;
  • to have incomplete personal data completed;
  • to restriction of processing;
  • to receive personal data in a structured commonly used and machine-readable format (portability) and to transmit those data to another controller;

The exercise of all these rights is subject to certain exceptions aimed at safeguarding the public interest (e.g. prevention or identification of crimes) and the interests of the Company. If you exercise any of the above rights, it is the responsibility of the Company to ensure that you are entitled to exercise them, and we will normally provide you with feedback within one month.
